Multiple data sets are gathered and arranged into tables, accounts, and columns by the relational database. The database's tables are connected to one another and exchange information. By exchanging information, duplicate entries for the same entity are avoided. Every record in every linked table has a single entry that contains attributes unique to another table. Instead of switching from one table to another to update individual records one at a time, the linkage of the tables allows for the updating of all files simultaneously. Additionally, the method of connecting the tables makes it simple and quick to search for the needed data. A relational database is better than the manual system of keeping records of an organization since it phases out the need for files and folders containing required information. Another advantage of the relational database is the better utilization of office space since large office cabinets for keeping files, and other manual records are not required. A Relational Database enables an organization to utilize office space effectively (Coronel & Morris, 2016).

The capacity to capture data is very large, and volumes of organization information can be stored in a single database management system. Maintenance of the database system is simple due to the easy entry of the needed information. Retrieving information from the database is quick, and this saves a lot of time that could have been used to search manual files and records. The use of relational database increased employee efficiency as the time they could have spent on bookkeeping, storage, and arrangement of manual files can be used constructively for the benefit of the organization. Besides, the cost of hiring employees specializing in bookkeeping is eliminated, and the savings could be used for other projects in the organization (Coronel & Morris, 2016).

Data Security and Confidentiality

The relational database enables the developer to set a certain level of authorization so that the stored data can be kept secure and confidential. The manipulation of data is easy but is restricted to authorized persons only. The manipulation is made possible through the use of login credentials and authentication protocols. The administrator of the database can place the varying level of authorization to prevent an employee from one level in the organization accessing unauthorized information of a different level. Therefore, the security of the stored information is guaranteed. Retrieving information from a relational database is quick and organized. The retrieving is made possible by the used of keys which make the search criteria possible. Only the required data is obtained and transferred to the required location of use. The addition of new members in the database is simple and is made possible by the provision of the new button activated by a single click. An example of companies using relational databases includes Twitter, YouTube, and Wikipedia, all of which uses MySQL which is a form of relational database. Other firms using relational database include Coca-cola Company, Facebook, and the Unites States spy agencies (Arjun et al., 2016).

In conclusion, the use of a relational database in an organization presents numerous advantages such as guaranteed data security and confidentiality, easy maintenance costs, elimination of a large number of manual files, and proper utilization of office space. Capturing of data is easy, and manipulation of data is only done by authorized persons only. Sharing of information between various tables in the database eliminates the presence of dummy records or multiple records of a single employee. The relational database system brings efficiency in the workplace and saves time and resources.
